Q. I had a problem requesting my free evaluation. What
should I do?
A: Be sure to complete the information on the request form. Fill in your
name, company name, phone number, email address and company address. If the information
is incomplete we cannot contact you or send you a CD. You will be e-mailed within 1 business
day from the receipt of your request. Contact our sales staff by email:

Q. I forgot my user name and password. What should I do?
A: If you forget your user name and password, first try to log-in with EventPro's
default username: Supervisor and password: Superv. If you still cannot enter the system, please
contact our support staff: support@eventpro.net, phone:
306-975-3737 or fax: 306-975-3739.
Q. I've installed EventPro. How do I get started?
A: Log in to EventPro by double clicking on the desktop icon. Enter
"supervisor" for the user name and "superv" for the password. Next click
on the 'Booking' tab to see the booking grid displayed. To begin entering your own
data, click on the 'Setup' menu. Here you can setup all of your locations, resources,
users, accounts, customer groups, event categories and system settings.
Q. How do I back up my EventPro data?
A: Now that you have all your data entered in EventPro, it is time to back up
your database. It is recommended that you back up your data every six months. Depending on the size
of your organization and how many bookings you handle daily, you may want to backup more/less
often.
- Open Program Files > PSI > EventPro folder and
locate the Data folder.
- Select the Data folder and Copy it.
- Paste the folder in the same location and rename the folder to Backup.
Q. How can I purchase EventPro?
A: Contact our sales staff to purchase EventPro Monday through Friday between

Q. What should I do to prepare for training?
A: Download the Setup Checklist
and complete the information as thoroughly as possible. Trainers need this information at least 2
weeks prior to training date.
Q. What is included with on site training?
A: On site training includes: Set up of your facilities database and staff training.

Q. Is there a limit to the number of locations in EventPro?
A: No. However the number of locations at your facility determines the software
package you purchase. Contact our sales department by phone: 306-975-3737, email:

hours are from 8:00am - 5:00pm (Central Standard Time), Monday through Friday.
Q. Is there a limit to the number of Customers, Events or
Resources that EventPro can keep track of?
A: No! You can keep track of as many customers, pieces of setup equipment, catering
resources, labor resources and liquor resources as you need. EventPro is extremely powerful
and user friendly, you'll wonder how you ever managed without it.
Q. How do I create user groups?
A:
- Click on the 'Setup' menu in the top left corner of the screen.
- Click 'Users' from the menu.
- Select the 'Groups' tab then click the 'New' button at the bottom
of the screen.
- Type in the name of the group and click save.
- Select each user in the list on the left and add them to the newly created
group.
Q. I only want to print certain pages of a PDF document. How
do I do that?
A:
- Click 'File' on the menu, then choose 'Print', or click the 'Print'
button.
- In the 'Print Options' window under the 'Print Range' sub-heading select the
option labelled 'Pages From'.
- In the first text box labelled 'From' enter the number of the page where
you want printing to begin.
- Now in the second text box labelled 'To' enter the number of the final page
you want to print.
- Click 'Okay' to begin printing.

Booking and Editing an Event

Q. How do I make a booking?
A: Also see creating a Repetitive Event
and Adding another day or location to an existing event.
Creating a single location booking from the Booking screen:
- Do 1 of the following:
- You can double click a cell on the booking grid.
- Select a cell on the booking grid then right click and select
'New'.
- Or select a cell and click the 'New' button in the top left corner
of the screen.
- Short cut key: Select a cell then press Ctrl + N
- This opens the first screen of the Booking Wizard. To select a current customer
click in the name field to display the customer lookup screen. Now select a customer from
the list below. Continue with step 4.
- If you would like to add a new customer, select the 'New' button. The
Enter the new customer information in the new pop-up screen. Click 'Save'. At
this point you will have the option of adding contacts for that customer. Enter the required
data. Click save. This will bring you back to the main wizard Continue with step 6.
- Enter a contact person by clicking in the contact 'Name' field. Select
a contact person from the list then click okay. If you do not classify your customers or use
cost centers continue on to step 6.
- If you classify your customers select the classification fields from the 'Group',
'Sub-group' and 'Category' drop down lists. Select a 'Sales Rep',
enter a 'Cost Center', 'Code' and add applicable 'Taxes'.
- Now click the 'Next' button. In this screen you are going to enter all of the
event information. Start by typing in the Event Name. If you type in a note it will only appear
on the Daily Bookings Display. Select a 'Status' from the drop down list.
- Enter a 'Department Code', if you use them. If you classify your events select a
'Category' and 'Sub-Category' from the drop down lists. Now type in
the estimated or actual number of people attending the event.
- If you do not use contracts or deposit information skip this step. Otherwise type the
contract number and select the date sent, date required by and date
returned if applicable. You can also enter a P.O. number. Next enter the deposit
amount and select the date it is required by or was returned on.
- If you are assigning an EventPro user to the event select their name from the drop
down list.
- To set the web status select a status from the drop down list. If you did not purchase
the web module skip this part. To continue click 'Next'.
- In this screen define the start and end times for the event. Next check the 'Assign
Rate Code Manually' box to select a rate code. Now select a setup type from the drop down
list and click 'Next' to continue.
- Enter any event comments here then click next. When the 'Create Location
Booking' box appears click yes. Now click 'Finish' to check for any booking conflicts.
Q. How do I copy an event?
A: There are three options where you can reuse an event's information:
Option 1: A Repetitive Event is a event that reoccurs.
- First, in the 'Booking' screen, click the arrow beside the 'New' button in the
top left corner OR select a cell on the booking grid and right click your mouse.
- Next click the 'New Repetitive' event option from the sub menu.
- This is the screen where you define where, how and when the event reoccurs. First select
the locations the event is going to be held in from the list on the left. Second define how
often the event reoccurs. From the drop down list select one of the following options
- Choose 'Daily' for events that occur every day. Click on the second
drop down menu to further define how often the event occurs. Your options are from Every
day through to Every 31st day.
- Select 'Weekly' for an event that occurs every week. From the next
drop down menu select the weeks the event reoccurs whether it's every week or every 8th
week. Below the previous menu is a list of the days of the week. Select the days of the
week that the event takes place. You can select multiple days in the week by holding
the control key while making selections.
- The 'Monthly Dates' option allows you to select the specific dates in a
month that an event takes place. The next drop down menu allows you to define how often
the event repeats. Choose from every month to every 12th month. Lastly select the dates
in the month. Hold down the control key while making selections to select multiple
dates.
- Select 'Monthly Days' for events that reoccur on certain days of a month.
Whether it's every month or every 12th month. Next select the days of the month when the
event occurs. Hold down the control key to select multiple days.
- Choose 'Custom' to select specific dates when there is no sequence for an
event's reoccurrence. Next select one day at a time and click the 'Add' button
after each selection.
- Lastly select the duration of the repetition. First click on arrow beside the
'Starting Date' field. Next select the month that the repetition is to start.
Select the 'Until' date to set when the repetition is to cease.
To add more days and locations to a repetitive event
click here..
Option 2: To book additional days and locations to an existing event, follow
these steps:
- In the 'Booking' screen select the additional days and locations you wish to
add to an event by holding the control key and clicking on the booking grid.
- Next either right click on a day you selected in the previous step or click the arrow
beside the 'Append' button in the top left corner of the screen. From the sub
menu select 'Append' to add to a single event or 'Append Repetitive'
to add to a repetitive event.
- This screen allows you to select the event you are adding new days and locations to.
Select the event then click the 'Next' button.
- Now enter the event's start and end times. From the rate code sub menu assign a rate code.
Choose a setup type as well then click 'Next'.
- When prompted, click 'Yes' to create the location booking. Next click
'Finish' to check for booking conflicts.
Option 3: If you simply want to move an event, follow these steps:
- Select the event on the booking grid screen, right click and select cut.
- Click on the event's new location and day, right click and select paste. This
method will only move one day of the event.
To move an event that contains multiple days and locations:
- Click the 'Event' tab on the right of the screen. Be sure the correct event
is selected. If not, click the 'Find' button in the top right corner of the
screen. Search and find the event then select it.
- Click the 'Select All' button.
- Click the 'Move' button below the 'Select All' button. Check one or
both of the 'Move Dates' and 'Change Selected Locations' boxes. Enter
the new date or check the box to move the date by a number of days, weeks, months, or
years. Select a new location from the drop down list and click okay. When you are
prompted click 'Yes' or 'No' to update location prices. Next click
'Yes' or 'No' to finish moving the selected location booking.
Q. How do I delete an event?
A: We recommend that you cancel events as an alternative to deleting them
because when you delete an event the booking number is deleted with it. You can not retrieve
deleted information for future reference. Cancelling the event allows you to keep the event
information as a reference. You can book events over the cancelled event without hassle.
However if you insist on deleting, here's how:
- Select the event in the 'Booking' screen then click on the 'Event'
tab.
- Click the 'Delete' button in the top right hand corner of the screen. A warning
message will appear warning that the event and all related information will be deleted for good.
Select 'Okay' to delete the event.
Q. How do I move an event to a different location or different
date? Do I use the 'Move' button?
A: Option 1: To move an event that is only booked in ONE location for ONE day:
- Select the 'Booking' tab.
- Next select the booking you want to move.
- Right click and select "cut" from the shortcut menu.
- Select the new day or location.
- Right click and select paste from the shortcut menu.
- Click 'Yes' or 'No' to update location pricing.
- Then click 'Yes' or 'No' to relocate the booking.
Option 2: To move an event with multiple days or locations:
- On the 'Booking' tab select any day of the booking you are going to
move.
- Next click the 'Event' tab.
- If the correct event is not selected click the 'Find' button in the top right
corner of the screen. Select the event from the list then click 'Okay'.
- Select the 'Detail' tab if it is not already active.
- Now click the button labeled 'Select All'. If you don't want to move all of the
booked days and rooms of the event, hold down the control key and select the ones that you
do want to move one by one.
- Click the 'Move' button.
- In the dialog box check one or both of the boxes labeled 'Move dates' or
'Change Selected Locations'.
- Now enter the new date (or location) by clicking on the arrow and selecting a day or
by manually typing it in.
- Click 'Okay'.
- When you are asked to update location pricing click 'Yes' or 'No'.
- When asked if you want to continue moving the booking, click 'Yes' or 'No'.
To move an event with multiple days and locations:
- Click on the 'Event' tab.
- To find the event click the 'Find' button. Select the event from the list displayed
and click 'Okay'. To select all of the days and locations booked click the button labeled
'Select All'. If only certain days or locations need to be moved hold down the
control key and select them manually.
- Then click the 'Move' button below the 'Select All' button. Check one or both
of the 'Move Dates' and 'Change Selected Locations' boxes. Enter the new
date or check the box to move the date by a number of days, weeks, months, or years.
Select a new location from the drop down list and click 'Okay'. When you are prompted click
'Yes' or 'No' to update location prices. Click 'Yes' or
'No' to continue moving the selected location booking.
Q. How do I add another day or location to an existing event?
A: On the booking grid, select the day or location to be added.
- Right click on the newly selected day or click the arrow next to the 'Append'
button in the top left corner of the screen.
- From the sub menu select 'Append' to add a day or location to a regular event
or 'Append Repetitive' to add days and locations to a repetitive event.
- Next find the event in the list that you wish to attach the new day or location to and select
it. Then click the 'Next' button. If you are appending to a regular event continue to step 4,
for a repetitive event skip down to step 5.
- Set the start and end times by clicking in the appropriate fields and entering the correct
information.
- See Repetitive Bookings if you are not familiar with
them.
- Now click the 'Assign Location Rate Code Manually' box and select a rate code from the
drop down list. Then select a setup type from the drop down list. Note that the rate code
and setup type fields are not required fields.
- Continue by clicking 'Next'. Click 'Yes' to create or 'No to cancel the
location booking. Lastly, click 'Finish' to allow EventPro to check for booking
conflicts.
Q. How do I lock an event to make sure no one but me has
access to it?
A:
- In the 'Booking' screen select the event you want to lock.
- Click the 'Event' tab.
- Click the 'Lock Level' button in the top right corner of the screen.
- Select 'Locked' from the drop down list. You are now the only person who can
edit the event. Now click 'Okay'.
Q. How do I change an event's status?
A: In the 'Booking Grid' screen: (Click the 'Booking' tab on
the right side of the screen)
- Select the event to change its status. Click the arrow beside the
'Location' button.
- Select the 'Set Status' option from the sub menu.
- From the drop down list select the new status and click 'Okay'.
- To update the status change click 'Yes'.
In the 'Event' screen: (Click the 'Event' tab on the right side of the
screen)
- Select the 'Detail' tab (it should already be selected).
- Click the 'Set Status' button on the right of the screen.
- From the drop down list select a status and click okay.
- Click 'Yes' to update the status.
Q. How do I copy the detail items (setup, labor, catering, cash,
liquor, miscellaneous) from one day or location to the other days or locations of an event?
A: From the 'Event' screen:
- Be sure the 'Detail' tab is active and click the 'Copy Detail'
button.
- Select the event you want to copy the details from.
- Select the specific day and location that contains the detail to be copied. Then
click 'Next'.
- Check the boxes beside the detail items you want to copy and click 'Next'.
- Hold down the control key and select the days and locations you want to add the details
to. Now click next.
- To add the details to existing items click the top box. If you are replacing existing
items check the second box. Next click the 'Finish' button.
- Select 'Yes' to confirm the copy. Then click 'Yes' again until
EventPro has checked for all resource conflicts.
Q. How can I change to a different event when I'm in the Event
Maintenance screen?
A:
- From the Event screen click the 'Find' button in the top right corner.
- Select an event from the list or search by typing in the 'Search' field.
By selecting a new 'Sort By' field you can change the way in which the events are
sorted and searched. For example if you want to search by customer you would select
'Customer Name' in the sort field and type the customers name in the 'Search'
field. Once you've found the event you were looking for click 'Okay'.
- You can also use the forward and backward arrows on the Event screen to scroll through
booking numbers. The arrows are located on the Event Screen above the 'Detail' tab.

A: EventPro is compatible with Windows 2000 as well as Windows 98, 95, NT, and ME.

Q. Why should I update EventPro to the latest version? Do I need
a support package?
A: When a new version of EventPro is released it contains new features as well as
fixes to any bugs the previous version had. Your system will run more smoothly when you update.
Yes, a support contract is required in order to update.
Q. How do I install EventPro?
A:
- Insert the EventPro CD. The CD will start up automatically. If the CD doesn't start up
automatically do ONE of the 3 options below:
- From 'My Computer' or 'Windows Explorer':
- Double click on the 'My Computer' icon on your desktop or
launch 'Windows Explorer'.
- Locate your CD drive where the name 'EventPro' appears and
double click on it.
- Double click the file called 'Setup'. Continue to step #2.
- From the 'Start' Menu:
- Click on the 'Start' menu in the bottom left corner of the screen.
- Select 'Run' from the menu options.
- Click the 'browse' button. Locate the drive that contains the CD
named 'EventPro'. Select it.
- Select the file named 'Setup'.
- Click the 'Open' button then 'Okay' to run the CD. Continue to
step #2.
- From your Desktop:
- Locate the CD called 'EventPro' on your desktop.
- Double click to open it.
- Double click the file named 'Setup'. Continue to step #2.
- Menu Options:
- The 'Interactive Tour' option allows you to view the EventPro Flash
Tour.
- The 'Install EventPro' option allows you to install EventPro on a
computer.
- The 'User Manual' option allows you to view or download the user manual
in PDF format.
- The 'Install Web Integration Module' option allows you to install the
Web Module, please contact support if you have any questions.
- Clicking 'Exit' will close the menu.
- Select the second option on the menu that says 'Install EventPro'.
- This screen tells you to exit all other programs that are running on your computer before
you continue with the installation. It also explains our copyright information and defines
the legal implications of improper use of the information contained on the CD. Click
'Next' to continue.
- This screen contains the licence information. Please read the agreement and click
'Agree' if you agree to the terms and conditions or 'Disagree'. Click
next to continue. If you disagree with the licence agreement you cannot continue.
- See "New Installation" if you are installing
EventPro for the first time. See "Update
EventPro" if you are updating to the most current version EventPro.

New Installation

Single User Install
|
- The single-user option will install EventPro locally for use on your computer only. Click
'Next'.
- The screen displays the folder where the EventPro application files will be placed.
The installation will create a new folder called "EventPro" inside the existing
folder called "Program Files" on your local hard drive (drive C:). The folder will
look something like this: "C\Program files\EventPro". If you want to place the
application files elsewhere, click the 'Browse' button and select an alternate
folder. Click 'Next' to continue.
- The screen displays the folder where the EventPro data files will be placed.
This folder will default to the application folder selected in the previous step. However,
if you want to place the application files elsewhere, click the 'Browse' button
and select an alternate folder. Click 'Next' to continue.
- Now you are ready to start the installation. The folders for both application and data
files are displayed here. Click 'Next' to start the installation. The installation
will only take a few minutes.
- When the installation is complete click the 'Finish' button to exit the setup
program.
- Restart your computer.

Multi User Server Install
|
- The 'Multi User' installation option allows you to install EventPro for
multiple users on a server. Select the 'Multi User' option. Next select the
'server' option. This installation will place all shared files on the server.
Multiple people on different work stations will be able to access the shared files.
- The screen displays the folder where the EventPro application files will be
placed. The default folder will look something like this: "C\Program files\EventPro".
If you want to place the application files elsewhere, click the 'Browse' button
and select an alternate folder. Click 'Next' to continue.
- The screen displays the folder where the EventPro data files will be placed.
This folder will default to the application folder selected in the previous step. However,
if you want to place the application files elsewhere, click the 'Browse' button
and select an alternate folder. Click 'Next' to continue.
- Now you are ready to start the installation. The files where both application and data

Multi User Work Station Install

- The installation program will now ask if you want it to locate the EventPro application

- Now you are ready to install EventPro. The folders for both application and data files are

Update EventPro

- Select the 'Update' option. Click 'Next'.
- This screen lists all changes and fixes made for each version. Review this list for any
important update information. Note: This list is installed to the EventPro application folder
as a file called "readme.txt" and can be printed later. Click 'Next' to
continue.
- The installation program will display the folders where the EventPro application and data
files already exist. Review to make sure they are correct. Click 'Next' to begin the
update.
- When the update is complete, click the 'Finish' button to exit the Installation
program.

Q. Will the web module work on an Intranet?
A: Yes! You can use it to allow everyone in your facility access to the calendar of
events, without putting your information on a public website.
Q. Can I hide certain events from people who go online?
A: In the second booking wizard screen there is an option labeled 'Web
Status'. You are given 4 web status options. Your first option allows event, customer, and
contact information to be visible on the web. Secondly you can allow only event and customer
information to be viewed. The third option allows you to only show event information. The last
option is to hide the event completely. You can also choose to hide an entire room from web
viewers.
